How to Register

PLEASE NOTE THT OUR WINTER SEASON HAS COMPLETED FOR 2025.  THESE INSTRUCTIONS AND DETAILS REFER TO OUR MAIN SEASON.  WHILST WE USE RX FOR OUR OTHER OFFERINGS, THE PATHWAY TO REGISTRATION MAY NOT BE THE SAME.  PLEASE FOLLOW OUR SOCIAL MEDIA AND ANY CONTACT FROM OUR SEVENS AND TOUCH COORDINATORS AS TO THE PROCESS FOR REGISTERING FOR OTHER COMPS.

Registration is driven by you as the parent or carer of a player.   This also includes managing your registrations, making payments, seeking clearances or transfers and asking for refunds.

We are required by the SJRU, NSW Rugby and Rugby Australia to use their proprietary application - Rugby Xplorer to facilitate your registration with us as  a Club.

Irrespective of the account setting process in Xplorer which allows some juniors to set up their own account - as a Club we expect parents or caregivers to set up and manage the account of their junior players.  We will send out information about games, events and registration issues to the account details and therefore expect to be communicating with parents or adult caregivers in relation to minors.

You will need to use the Rugby Xplorer app (free download) or access the Rugby Xplorer website. to start the process.  Both of these are provided by and maintained by Rugby Australia and available at your usual app stores.  When you make an account for you or your child, your contract is with Rugby Australia. and you are subject to the terms and conditions of creating that account.  You will be required to accept those terms and conditions by clicking a tick box.

Wahroonga Rugby Club is a payment recepient under RX and is enabled by being given club administration rights from Rugby Australia, to access your information and your player's information once you have set up your account.

WE ARE A LOCAL COMMUNITY CLUB AND OUR PRINCIPLE IS TO ALWAYS ACCEPT PLAYERS WHO RESIDE IN OUR LOCAL AREA

We may have players from other areas including country or greater metropolitan or regional areas who wish to play in Sydney competitions and wish to join our club. They may go to school locally or have local family or friends.

It is possible even after you have submitted your registration to our club and made payment, that we are unable to accept that payment or your registration under the SJRU. Competition Rules  This usually happens  because we are subject as a club to import or transfer rules in relation to players.  As a club we strictly comply with our obligations when it comes to ensuring that players are not poached or taken from other clubs outside the competition rules.  If your registration meets this criteria and we need to assess your registration against the competition rules we will advise you this is the case.  If there is any other reason we cannot accept your registration, then we will inform you and advise how to seek a transfer or a refund from the various rugby bodies.

INSTRUCTION GUIDE

We have created how to register instructions. Please click on the instructions if you have never registered before or its been a full year since you last registered! If you need guidance - please email registrar@wahroongarugby.com.au

Registration Type

You will be asked as part of the process to select a Registration Type.

Age for Registration

Registration in Rugby Xplorer will automatically apply to the player's date of birth.  The age of your child follows the calendar year. Eg, if your child turns 8 in 2025, on January 1 or December 31, they are still u8.

There is no option in the registration funnel to select an alternative age group.  That process needs to be triggered  by contacting us.  If you wish your child to play up a year or down a year please email the Registrar with this information for the relevant VP Juniors or Minis to consider. Not all requests will be granted.

Where your request falls outside of the permitted dispensations you will be required to submit more forms and information and your player will be subject to an offsite formal assessment prior to the season which is conducted by the SJRU.

Parents (and players - if appropriate) are involved in these decisions at all times and if there are any concerns about the process - parents are encouraged to talk to the WRC President about their concerns.

Size for Age

If a player is not requesting a change in their age group, but the player is of a height or weight that is under or above the Rugby Australia guidelines, then for the welfare of the player and the welfare of other players, your player may be required to play in an age group which is different to their chronological age.

This may also require a mandatory offsite formal assessment prior to the season which is conducted by the SJRU.

Parents (and players if appropriate) are involved in these decisions at all times and if there are any concerns about the process - parents are encouraged to talk to the WRC President about their concerns.

Playing with Friends

At Wahroonga we encourage players to bring along a mate and play with friends. In the Minis age groups u6-u9 - we cannot guarantee all requests  but we do our best to place children with friends. To make team organising as smooth as possible we encourage friends to come to our come and try rugby events and then register around the same time.

From u10 internal trials will take place - where we have more than one team in any age one age group. Then as a group, a Wahroonga team will then be graded externally by the SJRU against other teams in Sydney.  We believe even if a player does not end up in the same team as their friend in a particular season, they will continue to develop friendships across the club. Grading is done annually and kids move teams depending on skill sets they have developed, roles needed within the team (forwards/backs/centres) and new players. Wahroonga follows a Junior Player Selection Policy.
